What clients get from DUMATEK for paying $698.00/month for Remote Monitoring and Support-

Discounted IT rate and assigned IT Personnel off-site:  You can call your assigned IT personnel in the event something goes wrong and assistance can be provided immediately.  The discounted rate is $75.00/hr for anytime your IT technician needs to physically step into your site to repair or upgrade your network.  Examples of repairs that require on site service- Virus infection failed to quarantine or repair.

Remote Monitoring

  1. Protection from virus damage and malicious intrusions.  Also performs preventative maintenance by preventing risk to vulnerabilities.  This is a critical section in protecting your e-PHI.  Majority of the threats have been occurring in this section of IT.  It also identifies irregularities and inconsistencies that can be potential risks and damages.
  2. Monitor server security measures implemented and make sure everything is in operation and operating as they have been designed and configured to operate.

Remote Data management:  You are creating data everyday with your application software.  If you do not keep an eye on the growth of your data, it can affect the performance of the server and of course you won’t be familiar with your data.  This may create an unscheduled repair or upgrade.  Through our Remote Monitoring and Support, we have an eye on it daily.  This is a part of the Preventative Maintenance applied to your company.  This is usually the job of an IT person onboard.  This also addresses maintaining the confidentiality, integrity, and availability of e-PHI.

Remote Support: Our Company may never require stepping into your site because most of the repairs (not upgrades) may be done remotely (as far as we have experienced).  All remote repairs and remote upgrades are services rendered, covered by the Remote Monitoring and Support Agreement.  Examples of repairs that require on site service- Virus infection failed to quarantine or repair.

Off-site solution:  Backup and Restore  (DVD-BURN) - The off-site solution is implemented in case there is a disaster.  There is a Friday night burn on a DVD that is secured data not easily accessible and not readable when directly played from a DVD drive.  This is a 52 DVD library.   You won’t have to attend to the backup of your company even in a case where the building burns down.  A restore procedure is also implemented to reassure that the data burned on the DVD is a good backup.  Participation by a company head is required.

Standardization and compare:  We are able to monitor what are the best solutions for the stability and security of e-PHI using our networks, by comparing all the agencies in the standardization. Example: All anti-virus definitions should be updated to the latest definitions available. Most of the viruses that have been causing problems are also designed to disarm the anti-virus protection system without being obvious.  This is a very good safety feature and brings protection to e-PHI to a level higher.

Backup and Disaster Recovery System Remote Maintenance and Support:  Backup all your critical files daily and conduct full weekly and monthly backups.  Perform restore procedures to assure good backup sets.  Through this data collection, irregularities can be identified.  Example: Backup yesterday 4.3GB; backup today 3.1GB –

What happen to the data?

Log Auditing:  One of the requirements is Log-auditing.  You have to provide information of who accesses your network.  Someone should be monitoring the password management system implemented, and this is what we do.

Log Management:  Because of the daily audit activity, logs of the server will be growing in a rapid pace once implemented.  These files or logs are going to require monitoring for its growth and integrity and its accuracy and functionality in relation to the administration of the network.  The logs have to be kept for a specific number of years.

Documentation Updates

You get evaluation reports from this program. (Quarterly) (Soon to be implemented)

Incident reports.  (When it happens)

Network documetnetion requied to be in compliance with the HIPAA Security Rule.

Reminder: We can tell you who does not shut off their computers when they leave and can be exposing e-PHI.

We are a Business Associate:  A partner in this program that strives for continuous compliance for the covered entity (CE) under the HIPAA Securitry Rule.

These security procedures and measures implemented into an agency are designed to accommodate and address most of the Security Standards of HIPAA published April 21, 2003.  It is also designed to conduct specific and necessary procedures to protect a company and the e-PHI it manages from today’s IT threats and hazards, designed to implement a stable and secure e-PHI protection system.

WHAT TO THINK ABOUT…

Are you going to give someone in your company this responsibility?

Are they really qualified to accomplish this kind of job and maintain it?

Are you going to increase their salary and are you comfortable with their solution?

How protected is the e-PHI (patient’s data) and your company network?

Do you know the scope of threats you have?

Is it better to hire someone w/knowledge to manage this for your company?

Do you know the going rate to pay someone to do this job?

Are you and your staff going to be prepared in case of a disaster?

Do you have peace of mind in regards to the Security Standards of HIPAA?

The Healthcare industry has become a playground for legal matters and the computer section of the business is next in focus with the Security Standards of HIPAA.

Be prepared!
